EQUICK UGANDA EULA POLICY
Last updated: October 6, 2026

Effective date: [insert date of publishing]

This Policy explains how Equick Uganda Ltd, Uganda (“eQuick”, “we”, “us” or “our”) collects, uses, shares and protects information in connection with its website, business-integration and messaging services, and the eQuick.Uganda application (“Services”).

By accessing or using the Services, you acknowledge this Privacy Policy. It should be read together with our Integration End-User Licence Agreement at https://www.equickuganda.com/integration-eula.

1. Purpose of the Services

The Services are business-integration, automation and messaging services provided by eQuick to its business clients (“Clients”) and their authorised personnel. They connect approved business systems, including QuickBooks Online, PaygOps, Respond.io, WhatsApp Business and Google Cloud services.

The Services may be used to support authorised business processes such as:

• customer and lead management;
• sending and receiving WhatsApp messages on behalf of a Client, such as appointment, billing and support notifications;
• creating and retrieving QuickBooks Online customers and non-posting estimates;
• routing customer-support and workflow requests;
• preparing approval-gated expenses and commissions; and
• generating reports and audit references.

1. Our Role

For our own website, enquiries and business relationships, we act as the data controller.

When we send or receive messages or process records on behalf of a Client, the Client is the controller and we act as its processor, only on the Client’s documented instructions. Requests from individuals about data held for a Client will be passed to that Client.

1. Information We Collect

Depending on how the Services are used, we may process:

• business contact information, such as names, business names, telephone numbers, email addresses and messages sent to us;
• WhatsApp messaging information of a Client’s customers, such as telephone number, WhatsApp display name, message content, delivery status and timestamps, as needed to deliver the Client’s messages;
• accounting-integration information that a Client authorises us to access, such as customers, products and services, estimates, vendors, purchase orders, accounts and related accounting references; and
• technical information, such as IP address, device and browser information, and service and audit logs.

Our messaging services are not intended for sensitive health information. Please do not send diagnoses, test results or other clinical details through WhatsApp.

1. QuickBooks Online and Intuit Data

The Services access QuickBooks Online data only after the connected company’s administrator grants authorisation through Intuit OAuth.

Intuit data is used only to provide authorised services for the connected company. It is not sold, rented or used for unrelated advertising.

QuickBooks client secrets, OAuth tokens and related credentials are stored using restricted cloud-secret storage and are not intentionally exposed through WhatsApp conversations, browser logs, public documents or application source code.

1. WhatsApp and Meta

Messages are delivered through the WhatsApp Business Platform operated by Meta Platforms. Meta processes message data under its own terms and privacy policies.

Clients are responsible for obtaining and recording their customers’ opt-in to receive WhatsApp messages and for honouring opt-outs. You may stop messages at any time by replying STOP or by contacting the Client or us.

1. Artificial Intelligence Assistance

The Services may use artificial-intelligence-assisted tools to classify requests, assist customer-support conversations, retrieve approved information and route workflows.

AI assistance does not receive unrestricted access to QuickBooks credentials or OAuth tokens. Sensitive accounting actions and other controlled workflows remain subject to validation, authorised access and, where applicable, human approval.

1. How We Use Information

We use information to:

• provide, secure and support the Services;
• deliver messages that a Client asks us to send to people who have agreed to receive them;
• prevent fraud and unauthorised access;
• meet accounting, audit, tax and other legal obligations; and
• improve the reliability of the Services.

We do not sell personal information.

1. Sharing of Information

We share information only where necessary with:

• Meta Platforms (WhatsApp Business Platform), to deliver messages;
• Google Cloud, Respond.io, PaygOps and Intuit QuickBooks Online, as approved by the relevant Client;
• our Clients, for whom we process the information; and
• authorities or advisers where required by law.

Information may be processed outside Uganda by these providers under appropriate safeguards.

1. Security

We apply reasonable technical and organisational safeguards, including restricted access, encrypted communications, managed secret storage, authentication controls and audit logging. No system is completely secure, and users must protect their own credentials and report suspected unauthorised access immediately.

1. Records and Retention

We retain information only as long as needed for:

• providing the Services;
• accounting and audit requirements;
• fraud prevention;
• regulatory or tax compliance;
• resolving disputes; and
• enforcing our agreements.

Message logs are kept for an operational period agreed with each Client [insert period], after which they are deleted or anonymised. Deletion requests may be subject to legal, tax, accounting and contractual retention obligations.

1. Your Rights

Under the Data Protection and Privacy Act, 2019 of Uganda, you may request access to, correction of, deletion of or restriction of your personal information, withdraw consent, and complain to the Personal Data Protection Office.

1. Data Deletion Instructions

To request deletion of your information, email info@equickuganda.com with the subject “Data deletion request”, stating the telephone number or email address you used and the business (Client) concerned. We will respond within [30] days.

1. Third-Party Services

The Services depend on third parties, including Intuit QuickBooks Online, Google Cloud, PaygOps, Respond.io and WhatsApp Business. Their use may also be governed by their own terms and privacy policies. We are not responsible for the privacy practices of third parties.

1. Children

The Services are not directed at children under 18, and we do not knowingly collect their information.

1. Updates to this Privacy Policy

We may update this Privacy Policy to reflect changes in the Services, applicable laws, security requirements or third-party services. The updated effective date will be displayed at the top of this page. Continued use after an update constitutes acceptance of the revised Privacy Policy.

1. Governing Law

This Privacy Policy is governed by the laws of the Republic of Uganda.
